Reservation & Cancellation Policy of Vaani Greens

The following are the essential parts of the Resort Policy

Terms and conditions:

  • The standard check-in time is 1400 hrs and check out time is 1200 hrs IST.
  • Flight/train details to be provided minimum 48 hours prior to organize an airport/station transfer.
  • If you have been confirmed an airport pick-up, please look for the Resort paging board on your arrival at the airport
  • In case of any urgent requests of such nature, we recommend our guests to contact the Resort front desk or concierge directly for priority assistance.
  • In keeping with our heightened security procedures, we request all guests to carry a photo-identity-document with address proof to present at the time of check-in. PAN cards are not accepted. Resort reserves the right to refuse check-in in the absence of a valid identification document.
  • Foreign nationals are required to present their Passport and valid visa.
  • Indian nationals can present any one of the following:
  • Passport, Driving License, Voter ID card, Aadhaar Card.
  • Early check-in and late check-out are chargeable as per the resort policy and it is subject to availability of rooms. For us to guarantee you an early check-in, you will need to reserve the room from the previous night.
  • An extension of stay at the resort is liable to be offered at rate/offer applicable at the time the extension request is made. In case the original offer at which the reservation was booked has expired at that time, the resort is not liable to offer a room at the original rates but at current rates on offer.
  • If you need to cancel your reservation, please refer to the Cancellation Deadline, to avoid cancellation or no-show charges, which would include the room rate and applicable tax, for the entire stay.
  • Stay for Children up-to 5 Years of age will be free (while sharing the same bed with parents). Meals for children aged between 6 to 12 years will be chargeable. Children above 12 years age will be charged as per extra adult rate.
  • To ensure a relaxing and enjoyable stay for all our guests, we regret that the pets are not allowed in the resort.

  • CONFIRMED BOOKINGS: Any reservation made offline or through our website is considered a confirmed booking. In the event of an early check-out prior to the confirmed departure date, the guest is liable to pay the full payment for the entire booked period.

  • EXCEPTIONAL CIRCUMSTANCES: In cases of serious conditions (supported by documentation), date changes may be allowed up to 1 day prior to check-in. Once checked-in, no changes to prepone check out dates will be permitted.

  • Our standard check-out time is 12:00 pm. We allow a grace period up to 1:00 pm without penalty.
    •⁠ ⁠1:00 pm – 2:00 pm: Half-day charges will be applicable.
    •⁠ ⁠2:30 pm – 3:00 pm: Full-day charges will be applicable.

    Guests are required to settle these additional charges before departing the hotel.

Cancellation Policy:

  • Upon cancellation of booking, the refund of the booking amount will be initiated. The booking amount after deduction of cancellation charges and taxes, as applicable, will be credited into the bank account of the Customer using the same payment mode (i.e. debit card/ credit card/ net-banking and any electronic mode) by which the booking was made by the Customer. The refund process may take 10-15 business days.
  • Cancellation will be made as per following
  • Reservations must be cancelled by 2PM – 7 days prior to arrival to avoid cancellation charges.
  • The Resort may choose to release non-guaranteed reservations prior to the date of arrival.
  • Bookings can be cancelled or dates amended up to 7 days prior to check-in without penalty.
  • PAN to be produced in case of cash payments amounting INR 50,000 and above.
  • Reservations exceeding 5 rooms on overlapping dates will be considered a group booking. The Resort reserves the right to refuse such bookings on the basis of availability and may apply special rates
  • Rates are subject to change in case of change in validity periods, rate seasons, contracted periods, applicable laws or government policies
  • For travel agent/tour operator bookings, terms and conditions as per the contract will apply.
  • Certain privileged booking rates or special offers are not eligible for cancellation, refund or any change. The Customer/ Guest is therefore advised to check the room description and any such conditions carefully prior to making a booking. Resort shall not be liable to cancel or refund any monies or alter any bookings if booking is made under such privileged booking rates or special offers.
  • Outside food & alcohol are prohibited at the resort.
  • If the guest wishes to claim input tax credit , then GSTIN number along with an appropriate address need to be communicated at the time of booking. If this information is not provided prior to check-in, the Resort may not be able to amend invoices at a later stage.
  • Resort reserves the right to deny admission to guests with unparliamentarily conduct and behaviour or for any other safety, security, medical reasons. This applies in particular, if Guests do not observe rules and regulations of the Resort, express themselves in a discriminating manner, harass or endanger other guests.
  • We do our best to ensure reservation arrangements are satisfactory, however, the Resort does not accept any liability for any loss financial or otherwise, travel delay, injury, damage, additional expenses or inconvenience caused directly or indirectly by any events which are beyond our control. These include, but not limited to, flight delays or cancellations, civil disturbance, defects in vehicles, strikes, theft, acts of terrorism, natural disaster, war, fire, floods, acts of God, acts of Government or of any other authorities, changes to Government regulations, accident to or failure of machinery or equipment, maintenance requirements or industrial action.
  • The transportation services provided by the Resort is an ancillary service and the resort is not accountable for safety, security and comfort of the guests during such transits.
  • This contract shall be governed by and construed solely in accordance with the substantive laws of the Republic of India without regard to any conflict of laws principles. In the event of any dispute arising out of or in connection with the subject matter of this contract, parties agree to refer such dispute to arbitration to be held under the rules of the Arbitration and Conciliation (Amendment), Act, 2015. Proceedings will be conducted by a sole arbitrator to be mutually appointed by the parties. Seat of such arbitration shall be in Guwahati and proceedings shall be conducted in English. The decision of the arbitrator shall be final and binding. The courts in Guwahati shall have exclusive jurisdiction. The terms and conditions shall apply to all guests, travel agent/tour operator and any other person availing the services of Vaani Greens.

This reservation is confirmed subject to you approving that you have carefully read, understood and accepted the aforementioned terms and conditions. If you do not agree with these terms and conditions, kindly notify the Resort within 2 hours of receiving this confirmation or it shall be deemed to be explicitly accepted by you.
